We see AI as an assistive tool—akin to a calculator or a pen—empowering users to work smarter, learn faster, and achieve better outcomes. We recognize that the use of AI raises important privacy and security considerations, and we are committed to transparency, user control, and ongoing dialogue to build trust.
What Data Do We Collect?
We use advanced AI and machine learning, including large language models (LLMs) from trusted partners, to support our experiences such as Learning Pathways and Ask AI. The nature and scope of personal data collected will depend on the experience you use. In most AI-powered components, the user initiates and orchestrates the interaction. User data collected may include: your user identifier, the initial message, your submitted inputs (prompts/messages), responses generated by the service (outputs), and interaction timestamps. We do not collect more personal data than necessary, and we avoid storing sensitive data without clear user purpose and consent.
How Do We Use Data?
Personal data is linked to your Atlas Copilot account to provide and continuously improve personalized learning services. Where appropriate, we may incorporate additional context from your activity—such as goals, motivations, or assessment outcomes—to personalize content and recommendations, including chat conversations and insights. You always control if/when personal insights are shared with others, such as managers. We use your data to:
Generate personalized interactions, prompts, and AI-driven recommendations
Suggest resources, learning pathways, and development activities suited to your needs
Provide deeper reflection, actionable feedback, and more relevant insights
Initiate future tailored communications, where appropriate
Enhance, audit, and improve our AI applications and services
Monitor for compliance with policies and provide a safe and inclusive experience
We may remove identifiers to create anonymized or aggregated data for research, safety audits, and product improvements. As the offerings evolve, new platform features that require additional personal data will be clearly explained, with consent sought where appropriate.
How Do We Share Data?
To enable key AI-powered features, we share necessary data with our carefully selected LLM partners. These partners are contractually required not to retain, train on, or reuse any user data beyond short-term retention for safety and bias audits. Data shared with third parties for
research, analytics, or business cases is always anonymized to protect individual privacy.
If your access is sponsored by your employer, we may provide engagement or usage metrics, but never share detailed or identifiable personal content. We will not disclose your individual topics of interaction or content unless you specifically request or consent.
